Yearbook Drop helps school organizers collect class and event photos. Families contribute through a school link without creating an account. This policy explains how the tool handles information; the school organizer is responsible for how they use and share the photos they receive.
“We” and “us” refer to the people who operate Yearbook Drop.
Information we handle
- Organizer information: account ID, email, sign-in information supplied by your login provider, school name, album names, teacher names, event dates, school administrator memberships, invitation recipient emails and delivery status, terms acceptance version and date.
- Contributions: photos, filenames, uploader name and email, captions, and embedded photo metadata, which can include capture dates, device details, and location.
- Photo records: file size and type, duplicate-prevention identifiers, upload status, timestamps, errors, album memberships, favorites, and download requests.
- Technical information: our hosting and authentication providers process request information such as IP addresses, browser details, timestamps, and security or error logs.
We use this information to sign organizers in, collect, store, and organize photos, show upload progress, prevent duplicate processing, retry interrupted processing, and operate and secure the service. Class photos may also be added to this school's active event albums when their embedded capture date matches the event date.
Sign-in information
When you sign in through a login provider, we receive the account information needed to identify you, such as your email address and account identifier. We do not receive your provider password or request access to your personal photo library.
We do not sell personal information, use it for advertising, or use it to train general-purpose AI models.
Photos, metadata, and who receives them
We store photos in the school's private library and create smaller images for browsing. We preserve original photo metadata and update captions when you change them during your upload session. Selected details, including capture time, camera settings, captions, and uploader information, are also stored in photo records. Downloads contain the full-resolution files, including these metadata updates.
Your uploader name and email are embedded in the stored file. Original metadata can include location information. The organizer, and anyone they give a copy to, may be able to read this metadata. Remove unwanted original metadata before uploading.
Anyone with the school link can see the school name and available album details and submit photos. The upload page does not show collected photos. Contributor names and emails are supplied by contributors and are not independently verified. Only signed-in administrators with access to the school can browse its library and download photos. Favorites are shared among the school’s administrators. Organizers may share copies outside the service.
We use service providers, including Google, for sign-in, hosting, data storage, photo processing, and displaying website content. These providers process information to supply their services under their own terms, including Google's Privacy Policy. Information may be processed in the United States and other countries where we or our service providers operate.
We do not run advertising or analytics trackers. The operator may access necessary records to address a request you authorize, investigate security or abuse, or meet legal obligations. We do not routinely review photo content.
We use Resend to send administrator invitations. It receives the recipient’s email address and invitation message, including the school and inviter names. Invitations require sign-in with the intended recipient’s verified email. Invitation records are scheduled for removal after fourteen days.
Security and browser storage
We use encrypted connections, access controls, and private photo storage. No internet service can guarantee complete security. Keep organizer credentials and school links within the intended community.
The organizer's browser remembers their sign-in. Contributors' browsers remember the last class selected for each school. During an upload session, your browser remembers your name and email to prefill another upload; both remain editable. Sign-in credentials authorize photo and ZIP downloads. We do not intentionally save contributor photo files or upload history in browser storage. You can clear site data through your browser settings.
Retention, access, and deletion
Administrators can delete photos directly in the app. Photos and school records remain until removed. Photos removed from their last album, or deleted everywhere, move to Recently deleted for seven days. Organizers can restore them during that period or delete them permanently sooner.
The school creator can schedule school deletion from Settings. This immediately pauses collection and library access. The school creator can sign in and restore the school within seven days. After that deadline, a scheduled cleanup permanently removes the school’s photos, albums, and associated records. Administrator login accounts are kept. Administrators can delete their personal account from Settings. This removes that person’s login and school access; it does not remove shared school photos. School creators must complete school deletion before deleting their personal account. Physical cleanup may take additional time after the recovery period ends.
Incoming files are removed after processing, with automatic cleanup for files older than one day. ZIP downloads expire after seven days. Temporary files may remain until the next storage cleanup runs. Service logs and any provider backups follow their separate retention settings.
If you cannot delete a photo yourself, contact your school organizer or email support@yearbookdrop.com. Parents and guardians can request removal of a photo of their child, even if someone else uploaded it. You can also contact us for access, correction, other deletion requests, or help when you cannot access your account. Include the school and enough information to identify the contribution; do not send passwords or school access codes. We may need to verify your request and coordinate with the school organizer. Deletion cannot remove copies already downloaded, shared, or printed by others.
Depending on applicable law, you may have additional rights to access, correct, delete, or restrict use of your information, or to complain to a privacy authority. Nothing in our terms removes rights that cannot legally be waived.
Children's information
This tool is intended for adult school organizers, parents, guardians, and other adult contributors. Photos may depict children. Contributors must follow school photography rules and restrictions known to them. Organizers are responsible for checking school permissions and family restrictions before using or distributing photos. Submission does not establish permission to publish. Children must not create accounts or upload photos. Contact us if a child has provided personal information directly so we can address it.
Changes and contact
We will update the date above when this policy changes and provide additional notice when required. We will obtain any required consent before using personal information for a new purpose.
